What gets migrated from Zoho Mail

A Zoho mailbox bundles several kinds of data, each with its own transfer method:

• Emails and the folder tree — copied over IMAP, with read/unread state and subfolders preserved.
• Contacts — exported as CSV or vCard from Zoho, re-imported into Exchange Online.
• Calendars — exported as .ics and re-imported into the Microsoft 365 calendar.
• Aliases and groups — rebuilt on the target as Microsoft 365 groups and secondary addresses.

As with any IMAP server, remember that IMAP only transfers emails: contacts and calendars migrate separately, or you'll leave your users without an address book on day one.

Step 1 — Audit the Zoho account

Inventory every mailbox, its data volume and its folders, plus aliases and groups. On the domain side, find who manages the DNS zone, where the MX records point and their TTL. Lower that TTL to 300 seconds a few days before cutover for near-instant propagation. Finally, enable IMAP access in Zoho's settings and, if two-factor authentication is on, generate an app-specific password per account: Exchange Online will need it to connect.

Step 2 — Provision Microsoft 365

Create the tenant, assign the right licenses (Business Standard, Business Premium or Exchange Online) and create each user with their final address. Add your domain in the Microsoft 365 admin center and verify it via the TXT record. Email keeps arriving on Zoho throughout the prep: nothing has switched yet.

Step 3 — Migrate the emails over IMAP

Use Microsoft's native IMAP migration. In the Exchange admin center, create an IMAP migration batch, supplying Zoho's IMAP server (imappro.zoho.com or imap.zoho.eu depending on region, port 993 SSL) and a mapping file that pairs each Zoho address with its Microsoft 365 mailbox. Exchange Online copies the messages in the background without touching Zoho, with a full pass followed by incremental passes for new mail. Start the batch a few days before the planned cutover so the bulkiest mailboxes finish their first sync well ahead of time; the incremental passes that follow are fast because they only carry what has changed since. Group the largest mailboxes into their own batch so one 40 GB account doesn't hold up dozens of small ones.

As long as the MX still points to Zoho, the copy is completely invisible: your teams keep sending and receiving as normal.

Step 4 — Contacts, calendars and files

Export contacts (CSV/vCard) and calendars (.ics) from Zoho, then re-import them into Outlook or Microsoft 365. If you used Zoho WorkDrive for documents, move them to OneDrive or SharePoint, preserving the folder tree and sharing permissions.

Step 5 — Cut over the MX and verify

After the last incremental pass, change the MX records to Microsoft 365, then update SPF, DKIM and DMARC to keep deliverability intact. The lowered TTL makes propagation quick. Then check a sample of mailboxes (messages, folders, contacts, calendars), recreate Outlook profiles and reconfigure accounts on mobile.
